ELECTRONIC DELIVERY

FIRST, A Word About E-Mail:

The most important thing to accept before using e-mail to send any time-sensitive document is that E-MAIL IS NOT A GUARANTEED MEDIUM. When you send your document it could reach its destination in a matter of seconds or a matter of days, depending on a number of variables. Files do occasionally get "lost in space" (not really true, but we perceive it as such) and there is no real way to trace an e-mail to find out where it is. If you are sending an ad or file via e-mail, please allow at least three days before the insertion date and call us to confirm receipt.

APs ADSEND SERVICE:

We have had much success with this and highly recommend it. Their digital service allows you to send a PDF file to any newspaper or combination of newspapers for a per ad fee (anywhere from $2-$40 depending on priority of delivery).

CAMERA READY vs. FILE:

Once mutually exclusive terms, a camera ready ad can now exist as a file thanks to Adobe's invention of the PDF (portable document file). A properly formatted PDF file is the only file we consider "camera ready" and when we receive ads via e-mail it is expected that they arrive in this format. If you have not been exposed to Adobe Acrobat and anticipate using e-mail to send ads we highly recommend that you make the investment (about $240 retail) or visit Adobe's website to take advantage of their "Create a PDF Online " service.

FILE SIZES:

File sizes exceeding 15 MB are too large to deliver via e-mail attachment and may not be accepted by our server. If you anticipate needing to send large files on a regular basis, please get acquainted with using our FTP server or consider using the Associated Press' AdSend service.

VIRTUAL PAPERWORK:

Please be sure to include any insertion instructions with your e-mail attachment, preferably in the body of the e-mail message. Please specify the size of the ad, insertion date and any relevant information such as greyscale, spot, or process color. If FTP delivery is common for you, your insertion info can be included as part of your layout (outside the ad's border) as well as a good file naming convention (see below). Always communicate with your ad rep if there are any questions

NAMING:

Please be sure to name your file appropriately for easy identification. The advertiser's name and size of ad (i.e. thecardstore2x5.pdf) is preferred. Note: NEVER use a "period" in your file names other than the one that preceeds the file extension, it will be rejected by some systems.

PREFERRED ACROBAT (PDF) OPTIONS

Creating PDF Files:

The utility that creates PDF files is called Adobe Acrobat Distiller (part of the Adobe Acrobat Package). Most major document layout applications such as Quark Xpress and Pagemaker now come with the ability to export you documents directly to a PDF. The alternate "Two-Step" process is to create a Postscript file and then Distill it. It is extremely important in either case to know for sure what Job Options are being applied by Distiller when creating any PDF files in preparation for print.

Our ads are produced at the Concord Monitor. Their job options are listed below. If you are not able to edit or add a custom set of job options to use please use the "Press" or "Press Optimized" settings that come by default in your Job Options palette (for Acrobat 4.0 or newer).

Here are the custom settings that we recommend:

NOTE: If you are having trouble getting fonts to embed properly, try disabling the subset option, but be aware that the file size of the PDF may increase.

PHOTOGRAPHS/HALFTONES:

Any photographic image or halftone should be scanned in and used at 100% size with a dpi of 200. Save them as TIFF, EPS or JPEG file formats in greyscale or CMYK mode only. Any images in an ad that are RGB format will NOT separate correctly in production and your quality will be compromised. Exception: When we are building your ad in house and toning your images for you, supplying them as RGB is actually better than CMYK. We will do the conversion for you.

LINEART:

Any lineart should be scanned using the 'lineart' setting on your scanner. The 'lineart' setting scans the artwork as a bitmap and will provide you with a much cleaner line than scanning it greyscale. Any lineart at 100% size should be saved as a 600 dpi TIFF.

SCREENS:

If your ad contains any halftone screens, please make sure that the screen percentage is no less than 25%. Lighter screens will generally not reproduce.

SPOT COLORS:

The most commonly used spot colors are: Reflex Blue (100% C, 40% M, 0% Y, 0% K), X-Mas Red (0% C, 100% M, 40% Y, 0% K), Green (100% C, 0% M, 100% Y, 0% K), Orange (0% C, 100% M, 100% Y, 0% K), and of course, Cyan, Magenta, or Yellow.

A more specific spot color palette is available upon request.

PANTONE COLORS:

We cannot reproduce any PANTONE Matching System (PMS) colors as spot color. It is your responsibility to create a process color match if you would like to mimic a PMS color.
