While no official decision has been made, the Wilton-Lyndeborough Cooperative is making plans for a socially-distanced district meeting at the high school in March, utilizing multiple rooms.

During its meeting Tuesday, the School Board discussed plans for how to hold its annual district meeting and voting in March while still maintaining state guidelines for the COVID-19 virus. Though the roll-out of a COVID-19 vaccine has begun, it is still estimated to be several months before the majority of the population will be inoculated, and in New Hampshire, state guidelines continue to advise cautionary measures be taken when gathering in groups.

During Tuesday’s School Board meeting, Superintendent Bryan Lane presented the board with a possible plan that would allow for an in-person meeting, though the board has not yet taken an official vote to adopt the plan.

The school’s two largest meeting spaces, the gymnasium and cafeteria, are connected by a stage, according to Lane, and between the two rooms, can accommodate a total of 230 people with social distancing rules – 150 in the gymnasium and 80 in the cafeteria.

The 2020 March Town Meeting exceeded that number, with a total of 262 attendants, but previous years saw fewer attendees, with 99 in 2019, 185 in 2018 and 104 in 2017.

Lane said that in the event there are more than 240 people in attendance, there could be overflow rooms established in the music room and library for an additional 60 people with access to the meeting broadcast by the school’s intercom system, and an attending moderator in each room to ensure that those that wished to speak to an issue could do so publicly.

If there is a request for a ballot vote on any issue, Lane said the district could accommodate that safely, by establishing two ballot boxes, one outside the gymnasium and the cafeteria, and allowing people row-by-row to cast their ballots, to prevent mixing.

Some long-time staples of the annual meeting, such as a baked goods table, and a childcare room, would not be available this year.

The district has also scheduled its annual budget hearing for an in-person meeting this year, to be held on Feb. 4 at 7 p.m. in the Wilton-Lyndeborough Cooperative Middle/High School gymnasium.
